A decision-ready brief does not need every specification. It needs enough commercial context to reveal the right product route, the missing decisions, and the real cost drivers.

Use the brief checklist

Before contacting a factory

Prepare the eight decisions that frame the project.

Unknowns are acceptable. Mark them as open instead of filling them with assumptions.

  1. Buyer and channelBrand, importer, distributor, retailer; e-commerce, grocery, gifting, seasonal, or another route.
  2. Target marketCountry or region, label language, and any known ingredient or claim constraints.
  3. Consumer and occasionWho chooses it, why, when, and what should make the concept memorable.
  4. Product directionMarshmallow, gummy, jelly, hard candy, lollipop, IP, or an open brief.
  5. Customization priorityThe one or two elements that must feel distinctive: shape, formula, flavor, print, assortment, or pack.
  6. Pack and price tierExpected unit format, sales channel, positioning, and target retail architecture if known.
  7. Volume rangeTest quantity, first-order estimate, SKU count, and potential repeat forecast.
  8. Target timingRequired delivery or launch window, including fixed seasonal or licensing dates.

Quotation logic

Why a product photo is not enough to quote accurately.

Two products that look similar can have different setup, labor, pack, testing, and logistics costs.

Product variables

Formula, piece weight, shape complexity, handwork, print detail, yield, and quality tolerance.

Packaging variables

Pack materials, dimensions, print method, component MOQ, assortment count, display, and cartons.

Order variables

Total quantity, number of SKUs, allocation by flavor, repeat forecast, destination, and Incoterm.

Development variables

New mold, sample rounds, testing, artwork support, licensing approvals, and required documents.

Sampling & approvals

Approve one question at a time.

A sample is evidence for a decision. Define what each round is meant to prove before asking it to prove everything.

Commercial terms

Confirm what the price and payment actually cover.

Price basisCurrency, Incoterm, destination point, validity, taxes, and included services.

Development chargesSamples, molds, artwork support, print plates, tests, courier, and whether any cost is credited later.

Payment milestonesDeposit, balance trigger, sample payment, tooling payment, and bank details verified through an agreed channel.

Change controlWhat happens to price or timing if formula, quantity, artwork, pack, or delivery terms change.

Claims and warrantiesAgreed product specification, shelf-life basis, destination responsibility, and complaint process.

Packing & shipping

Design for the journey, not just the shelf.

RouteHeat, humidity, transit time, destination

Final carton configuration, shipping marks, documents, and freight responsibility should be confirmed before production release. Product stability and packaging must be reviewed for the intended route and storage conditions.
